The opportunityReporting to the Manager, Ambulatory Surgical Care, the Level III Administrative Assistant provides high quality administrative and organizational support to the Division of Orthopedics and Orthopedic Surgeons. Responsibilities include, but are not limited to:
- Maintain files and use Outlook to coordinate surgeon schedules
- Coordinate and plan patient surgical procedures, which includes liaising with families, internal/outpatient departments, hospitals and agencies
- Ensure communication between the team and the division. Anticipate and actively resolve problems
- Create and manage the master clinic calendar for the orthopedic care team
- Coordinate travel arrangements, including booking and expense recovery, as requested
- Attend meetings, write, produce and distribute minutes as needed
- Complete correspondence and records for computerized medical billing
- Provide academic and research support (i.e. literature searches, article retrieval, etc.)
- Manage office supply inventory and place orders as needed
- Participates in ambulatory care team discussions as needed, offering input and energy to efforts to improve clinic efficiency and operation.
- Prepare purchase requests, check requests and petty cash vouchers
- Dictation, word processing and database entry
- Prepare/type/transcribe reports, project documents, correspondence, etc. Distribute accordingly
- Generate and monitor performance indicators as needed
- Establish and maintain an office filing system, including processing incoming/outgoing mail.
Working hoursMonday to Friday, 8 hour shifts.Your qualifications
- Minimum high school diploma or GED required
- Graduation from a recognized medical office administration diploma program required
- At least two (2) years of related administrative experience required. Experience in a healthcare environment preferred
- Advanced working knowledge of Windows, MS Office programs, Adobe Professional, Outlook, Meditech, online medical research, Internet research and database programs required.
- Keyboarding skills of 60 words per minute (at least) required
- Successful completion of a medical terminology course is preferred.
- Working knowledge of office equipment
- Demonstrated strong time management, analytical and problem-solving skills
- Demonstrated organizational skills, strong communication and interpersonal skills
- Demonstrated initiative; motivated and able to work with minimal supervision/direction
- Demonstrated high regard for quality, precision and attention to detail
- Demonstrated ability to work well with others and in a collaborative, interprofessional team
- Excellent diplomatic judgment and discretion in handling confidential and/or sensitive information
- Works effectively in a stressful environment with multiple deadlines and simultaneous activities
- Experience in computerized medical billing applications preferred
- Experience with Community Wide Scheduling (CWS), an asset
- Surgical booking experience as an asset
- Previous experience with a dictaphone, an asset
- Skills in other languages an asset; French preferred
